Job Description

Summary of Job – Receiving Supervisor

  1. Oversee all incoming goods and ensure accurate receiving processes are followed.

  2. Verify delivery documentation, quantities, and product quality against purchase orders.

  3. Supervise offloading, sorting, and placement of stock in designated areas.

  4. Ensure received goods are properly labeled and recorded in the inventory system.

  5. Coordinate with purchasing and warehouse teams to resolve discrepancies or damages.

  6. Plan and allocate tasks to receiving staff to maintain efficient workflow.

  7. Ensure FIFO principles are applied during receiving and storage.

  8. Maintain accurate receiving logs and assist with stock counts and reconciliations.

  9. Enforce safety and housekeeping standards in the receiving area.

  10. Communicate effectively with suppliers, transporters, and internal departments to ensure smooth receiving operations.

  11. Monitor equipment (forklifts, pallet jacks, etc.) to ensure safe and optimal use.

  12. Identify and implement process improvements for efficiency and accuracy in receiving operations.

  13. Support warehouse management in meeting productivity, accuracy, and compliance goals.

Qualifications & Experience

  1. Minimum 5 years’ experience in a Supervisory role

  2. At least 3 years’ Customer Service experience

  3. Strong analytical and forecasting abilities

  4. Proven ability to drive continuous improvement initiatives

  5. Proficient IT skills, particularly in Microsoft Excel

  6. Strong decision-making and problem-solving skills

Technical Experience

  1. Operation and basic maintenance of warehouse equipment such as forklifts, pallet jacks, and conveyors

  2. Knowledge of barcode scanners, RF systems, and computerized receiving software

  3. Understanding of warehouse layout design, racking systems, and storage optimization

  4. Experience with inventory control systems and stock reconciliation processes

  5. Ability to identify, report, and assist in resolving mechanical or equipment faults

  6. Understanding of safety standards, risk assessments, and warehouse compliance

  7. Hands-on experience managing and coordinating offloading and receiving operations

  8. Knowledge of basic electrical and mechanical systems relevant to warehouse operations

  9. Use of Computerized Maintenance Management Systems (CMMS) for tracking equipment performance

  10. Strong documentation and reporting skills related to receiving, inspections, and inventory accuracy

  11. Ability to implement preventative maintenance schedules for receiving area equipment

  12. Proficient in emergency response and troubleshooting operational breakdowns

  13. Collaboration with technical teams for repairs, installations, and system improvements

  1. Accuracy of Receiving Operations – Ensure all incoming goods are received, inspected, and recorded accurately against purchase orders.

  2. Equipment Reliability and Uptime – Maintain receiving equipment in optimal condition to prevent downtime.

  3. Preventive Maintenance (PM) Compliance – Ensure all scheduled maintenance activities are completed on time.

  4. Health, Safety & Compliance – Enforce adherence to safety standards and PPE requirements.

  5. Inventory Accuracy – Maintain stock accuracy through proper labeling and storage.

  6. Supplier and Delivery Performance – Monitor and follow up with suppliers to ensure timely deliveries.

  7. Process Efficiency – Continuously improve receiving processes for productivity and turnaround time.

  8. Adherence to Policies & Procedures – Ensure compliance with all Distribution Centre SOPs and audit standards.

  9. Team Performance and Training – Supervise, train, and evaluate receiving staff.

  10. Housekeeping and Work Area Standards – Maintain a clean, organized, and safe receiving environment.
